Stock Issuing Console

The Stock Issuing Console is the primary workspace for warehouse personnel responsible for fulfilling maintenance parts requirements. It provides a consolidated view of Work Orders and transfer requests that require stock actions, allowing warehouse staff to reserve, pick, issue, transfer, and return inventory while maintaining full traceability of stock movements.

The console is organised by warehouse and presents a queue of issuing documents that require action. Depending on your role and responsibilities, these documents may include Work Orders requiring parts, internal stock transfer requests, and other inventory transactions awaiting warehouse processing.

Getting Started

Before processing any inventory transactions:

  1. Select the warehouse you are working from using the Warehouse selector at the top of the screen.
  2. Review the list of Issuing Documents displayed for that warehouse.
  3. Use the search field to find specific documents by:
    • Work Order Number
    • Transfer Number
    • Supplier
    • Part Number
    • Reference Number
  4. Use the document type tabs to filter the list:
    • All - Shows all issuing documents
    • Work Orders - Shows maintenance-related parts requests
    • Transfers - Shows inter-warehouse transfer requests
  5. Use the status filters to narrow the list to specific workflow stages such as:
    • Awaiting Approval
    • Approved
    • In Transit
    • Completed
  6. Select an issuing document from the left-hand panel to view its details and available actions.

Processing Work Orders

For Work Orders, the Stock Issuing Console displays the parts required for the selected maintenance activity together with current reservation, picking, issue, and return status.

Warehouse personnel can:

  • Reserve stock against a Work Order
  • Pick reserved stock from storage locations
  • Issue parts to technicians
  • Process part returns
  • View stock availability before issuing
  • Track issued and returned quantities

The standard workflow is:

Requested
→ Reserved
→ Picked
→ Issued
→ Partially Returned / Returned
→ Restocked

Processing Transfer Requests

The Stock Issuing Console also manages stock transfer requests from other warehouses.

For transfer requests, warehouse personnel can:

  • Review transfer requests
  • Approve or reject requests
  • Reserve stock for approved transfers
  • Enter courier details
  • Record tracking numbers
  • Update estimated arrival dates (ETA)
  • Mark stock as In Transit when dispatched

Transfer requests move through the following stages:

Requested
→ Approved
→ Awaiting Pickup
→ In Transit
→ Received
→ Completed

Stock Reservations

Reserving stock allocates inventory to a specific Work Order or transfer request without reducing Stock on Hand.

When stock is reserved:

  • Stock On Hand remains unchanged
  • Reserved Stock increases
  • Available Stock decreases

Reservations prevent inventory from being allocated to multiple jobs simultaneously while ensuring the required parts remain available for planned work.

Picking Parts

Picking confirms that the required parts have been physically collected from storage locations and prepared for issue.

Typical examples include:

  • Picking parts into a technician kit
  • Preparing a maintenance work package
  • Staging parts for courier collection
  • Consolidating parts for a shutdown or planned outage

Picking does not affect Stock On Hand or Available Stock. It simply records that the parts have been physically collected and are ready for issue.

Issuing Parts

Issuing transfers inventory from warehouse control to the technician, maintenance crew, or operational activity consuming the stock.

When parts are issued:

  • Stock On Hand decreases
  • Reserved Stock decreases
  • Issued quantities increase
  • Inventory transactions are recorded for audit purposes

All stock issues are linked to the originating Work Order, providing complete traceability of inventory consumption and maintenance costs.

Returns and Restocking

Unused parts can be returned through the Stock Issuing Console.

Returned parts are normally placed into a staging or quarantine area before being returned to available stock through the restocking process.

This ensures:

  • Returned quantities are tracked correctly
  • Damaged or unsuitable parts can be inspected
  • Stock records remain accurate
  • Inventory remains fully auditable

Inventory Visibility

Throughout the entire process, Samurai automatically updates and tracks:

  • Stock On Hand
  • Available Stock
  • Reserved Stock
  • Picked Quantities
  • Issued Quantities
  • Returned Quantities
  • In Transit Quantities

This ensures warehouse personnel, planners, supervisors, and maintenance teams always have accurate visibility of inventory availability and movement across all warehouses.
