Completing a Form on Desktop

Completing a Form finalises the data you have entered and records it as a completed submission in Samurai CMMS. Forms are usually completed in the mobile app after all required information has been entered and validated.

A Form cannot be completed until it meets all validation requirements.

Before you complete a Form

Before completing a Form:

  • The Form must already be started
  • All required fields must be completed
  • You must have permission to submit the Form

How form progress is tracked

Each Form includes a progress bar.

The progress bar:

  • Tracks required items only
  • Shows how many required tasks are completed
  • Updates automatically as fields are filled in

For example:

  • 0 of 50 completed when the Form is first opened
  • 50 of 50 completed when all required items are finished

The Complete Form button is only enabled when all required items are completed.

Completing a Form on mobile

Forms are most commonly completed in the mobile app.

  1. Open the mobile app.
  2. Go to Forms.
  3. Select the In Progress Form you want to complete or Start a New Form.
  4. Populate all form items.
  5. Select Complete Form.
  6. Correct errors if prompted, and again select Complete Form.

If working offline, ensure when you're back online that you sync the form to update it's status and so others can see.

What happens after a Form is completed

Once completed:

  • Mobile: The Form is removed from the Forms tab
  • Desktop: The form move from In Progress Forms to Completed Forms tab of Forms → Forms Management
  • The Form becomes read-only (a user can click Reopen Form to make changes if permissions allow)
  • Any Form Completion Actions are triggered automatically

Example of completing a Form

A technician completes a pre-start inspection.

The technician:

  • Starts a new Form
  • Completes all required checklist items
  • Sees the progress bar reach 50 of 50 completed
  • Selects Complete Form

The supervisor automatically receives an email with a link to the completed Form.

Pre-requisites

To complete a Form:

  • The user must have the Samurai mobile app
  • Required fields must be configured correctly
  • Completion Actions must be set up if automated workflows are required

Important considerations and best practices

  • Do not start a new Form if one is already in progress
  • Review entries before selecting Complete Form
  • Use comments or notes fields for clarification where needed
  • Completed Forms cannot be edited unless permissions allow
  • Ensure reliable connectivity so completion syncs successfully

Completing a Form correctly ensures accurate records, automated follow-up, and full traceability across Samurai CMMS.
