Add Documents
Documents can be attached directly to an Asset. Documents added to an Asset provide ongoing reference information and are available to users whenever the Asset is viewed.
How Asset document linking works
When you add a document to an Asset, Samurai CMMS stores the document against the Asset record. The document remains linked to the Asset for its entire lifecycle unless it is removed.
This means:
- Documents are available from the Asset record at all times
- Documents can be referenced by technicians during maintenance activities
- Asset documents are not automatically copied to Tasks or Work Orders
Common uses for Asset documents
Documents attached to Assets are typically used for:
- Manufacturer manuals and specifications
- Warranty information and certificates
- Compliance and regulatory documents
- Asset drawings and technical diagrams
- Photos of the Asset
- Commissioning / Decommissioning and installation details
Supported document types
Samurai CMMS supports the following document types for Assets:
- Microsoft Word
- Microsoft Excel
- JPEG
- JPG
- PNG
Important considerations
- Documents attached to an Asset do not automatically appear on related Tasks or Work Orders
- Removing a document from an Asset removes it from the Asset record only
- Access to Asset documents follows the same permission rules as the Asset
This approach ensures Asset-level documentation remains accurate, accessible, and separate from task-specific work records.
