Add Documents
Documents can be stored against Tasks. Any Documents stored against tasks are also linked to Work Orders created from those tasks. This ensures technicians always have access to the correct supporting information when performing work.
How document linking works
When you add a document to a Task, Samurai CMMS links that document to the Task record. Each time a Work Order is generated from the Task, the same document is copied to the Work Order.
This means:
- Documents only need to be added once at the Task level
- Technicians can view the documents directly from the Work Order
- Updates to Task documents apply to future Work Orders, not existing ones
Common uses for Task documents
Documents attached to Tasks are typically used for:
- Safe work procedures and job instructions
- Manufacturer manuals and specifications
- Inspection checklists and forms
- Diagrams, photos, or reference images
- Compliance or regulatory documentation
Supported document types
Samurai CMMS supports the following document types for Tasks:
- Microsoft Word
- Microsoft Excel
- JPEG
- JPG
- PNG
Important considerations
- Documents attached to a Task do not automatically update existing Work Orders
- Removing a document from a Task does not remove it from previously created Work Orders
- Access to documents follows the same permission rules as the Task and Work Order
This approach keeps documentation consistent while preserving the historical record of completed work.
