Attach Photos

This feature allows users to attach photos to Work Orders to visually record asset condition, work performed, or issues identified. Photos support clear communication, evidence of work, and accurate maintenance records.

Photos can be added when working in both the desktop and mobile applications.

How photo attachments work

Photos attached to a Work Order are stored as part of the Work Order record.

This means:

  • Photos are visible to all users with access to the Work Order
  • Photos remain available after the Work Order is completed
  • Photos support audits, reviews, and follow-up work

Photos are specific to the Work Order and are not automatically copied back to the Task or Asset.

Adding photos in the desktop application

Photos can be uploaded from a computer when working in the desktop application.

To add photos on desktop:

  1. Open the Work Order.
  2. Navigate to the Attachments or Photos section.
  3. Select Add Photo or Upload.
  4. Choose one or more image files from your computer.
  5. Save the Work Order.

Uploaded photos are immediately linked to the Work Order.

Adding photos in the mobile application

Photos can be added directly from a mobile device while work is being performed.

To add photos on mobile:

  1. Open the Work Order in the mobile application.
  2. Navigate to the Photos or Attachments section.
  3. Select Add Photo.
  4. Choose to take a photo using the device camera or select from the media gallery.
  5. Save or sync the Work Order.

Photos taken in the field are uploaded when the device is online.

Where photos are visible

Photos attached to a Work Order are visible in:

  • The Work Order record
  • Work Order history after completion
  • Reports or exports where attachments are included

Photos are not automatically attached to the Asset or Task unless explicitly added there.

Example of photos in use

A technician identifies damage during a breakdown repair.

The technician:

  • Takes photos of the damaged component before repair
  • Attaches photos showing the completed repair
  • Completes the Work Order

The photos provide visual evidence of the issue and the completed work for future reference and review.

Important considerations and best practices

  • Take clear and well-lit photos to ensure details are visible
  • Add photos before and after work where appropriate
  • Use photos to support compliance, safety, or warranty claims
  • Ensure sensitive information is not captured in images
  • Large numbers of photos may increase upload time on mobile networks
  • Deleting a photo removes it from the Work Order record

This feature improves work quality, traceability, and communication across maintenance teams.
