Adding Work Orders

Events may either assign existing Work Orders or create new Work Orders directly within the Event. Adding Work Orders to an Event groups related work into a single downtime window and ensures accurate planning, execution, and reporting for Advanced Assets.

Events act as the container. Work Orders are the work performed during that downtime.

What adding Work Orders to Events means

When a Work Order is added to an Event:

  • The Work Order becomes scheduled
  • The Work Order inherits the Event timing context.
  • The work is grouped with other related tasks
  • Downtime is tracked once, not per Work Order

This avoids repeated downtime and improves coordination.

Event timing context applies constraints to the actual dates for the Work Orders within the event:

  1. Work Order actual start times cannot be before the Event start time.
  2. Work Order actual completion times cannot be after the Event end time.

How Work Orders and Events work together

Events define when the asset is unavailable.
Work Orders define what work is done during that time.

Key behaviour:

  • One Event can contain multiple Work Orders
  • A Work Order can belong to one Event only
  • Moving or rescheduling an Event affects all linked Work Orders
  • An Event cannot be Completed unless all it's Work Orders are either Completed or Deferred

Common uses

Adding Work Orders to Events is commonly used to:

  • Group corrective and follow-up work after a breakdown
  • Combine inspections, repairs, and testing into one downtime
  • Plan shutdowns or planned maintenance windows
  • Reduce repeated outages on the same asset
  • Improve downtime and availability reporting

Where you can add Work Orders to Events

Work Orders can be added to Events from multiple locations:

  • Work Management → Events
    • Open an existing Event
    • Select + Assign or Create Work Orders
  • Work Management → Events (during Event creation)
    • Use + Add Event
    • Assign or create Work Orders as part of setup
  • Work Management → Work Orders
    • Select a Work Order
    • Choose + Add to Event
    • Select an existing Event or create a new one

All methods result in the same Event and assignment behaviour.

Assigning existing Work Orders to an Event

To assign existing Work Orders:

  1. Navigate to Work Management → Events.
  2. Open the Event.
  3. Select + Assign or Create Work Orders.
  4. Review the list of Unscheduled Work Orders for the Asset.
  5. Select one or more Work Orders.
  6. If a new Work Order is required, Select + Create Work Order.
  7. Confirm the assignment and click Save

The Work Orders are now linked to the Event and considered scheduled.

Unscheduled Work Orders are not already assigned to an Event.

Creating a new Work Order within an Event

You can create a new Work Order directly from an Event.

To create a new Work Order in an Event:

  1. Open the Event.
  2. Select + Assign or Create Work Orders.
  3. Select + Create new Work Order.
  4. Enter the Work Order details.
  5. Save the Work Order.

The new Work Order is automatically assigned to the Event.

Pre-requisites

Before adding Work Orders to Events:

  • The Asset must be configured as Advanced
  • The Event must exist or be in the process of being created
  • Work Orders must be Unscheduled to be assigned
  • Users must have permission to edit Events and Work Orders

Example of adding Work Orders to an Event

A planned shutdown is scheduled for an Advanced Asset.

The planner:

  • Creates an Event for the shutdown window
  • Assigns an inspection Work Order
  • Creates a new repair Work Order within the Event
  • Adds a commissioning Work Order to confirm return to service

All work is completed during one downtime window, and reporting reflects a single Event.

Important considerations and best practices

  • Add all related Work Orders to the same Event
  • Work Orders cannot be assigned to multiple Events
  • Use Events to minimise repeated downtime
  • Keep Event timing realistic before assigning work
  • Review Unscheduled Work Orders regularly
  • An Event cannot be Completed unless all it's Work Orders are either Completed or Deferred
  • Accurate Event assignment improves work efficiency, downtime management, and KPI reporting

Adding Work Orders to Events ensures maintenance work is planned efficiently, executed together, and reported accurately for Advanced Assets.
