Reporting
Summary
Reporting in Samurai turns the work you record every day (Work Orders, downtime, tasks, parts, forms and meter readings) into information you can act on. Use reports to answer everyday questions such as "what work is outstanding on this site?", to share regular summaries with your team, and to track how your fleet is performing over time.
All reporting tools are found under Reports in the left-hand menu.
What's in the Reports menu
The Reports menu has three parts:
- Generate Report: build a report from scratch. Choose a base table (for example Work Orders or Downtime), pick the columns you want, then filter, sort and group the results. See Generating a Report.
- Report Library: reports that you, or others in your organisation, have saved. Saved reports are grouped by base table so they are easy to find. See Saving Reports to the Report Library.
- Analysis Reports: ready-made KPI reports for Utilisation & Availability, Work Orders, Reliability, Maintenance Efficiency and Costs, with charts, tables and drill-downs. See Analysis Reports.
Any report can be exported to Excel or PDF, and saved reports can be scheduled to arrive automatically by email. See Exporting Reports and Scheduling Reports.
Which report should I use?
- Use Generate Report when you need a list of records, for example all open Work Orders for a department, parts awaiting delivery, or forms completed last week.
- Use an Analysis Report when you need a performance measure, for example availability, MTBF, MTTR or cost per hour, trended over time or compared across assets.
Who can see reports
What you see in the Reports menu depends on your user role. Your administrator controls:
- Whether you can view reports, create and edit your own reports, or delete reports
- Which base tables you can report on
- Whether you can view, create, edit, run or delete report schedules
- Which Analysis Reports you can open
If a report or menu option is missing, ask your administrator to check your role. See User Roles.
