Analysis Reports

Analysis Reports measure how your fleet and maintenance are performing. Each report focuses on a single KPI, such as Mechanical Availability, MTBF or Total Cost, and lets you trend it over time, compare it across assets, and drill into the figures behind it.

Analysis Reports are grouped into five categories:

  • Utilisation & Availability
  • Work Orders
  • Reliability
  • Maintenance Efficiency
  • Costs

Opening an Analysis Report

  • Go to Reports
  • Under Analysis Reports, expand a category, for example Reliability
  • Select a KPI, for example Mean Time Between Failures

Selecting the assets and period

Use the filter bar at the top of the report to choose what to analyse:

  • Department, Area, Asset Type, Asset Class, Asset Group and Asset: leave these blank to include all assets, or select one or more values to narrow the report
  • Meter: required. Choose the meter that measures usage (for example hours or kilometres). Usage-based KPIs such as utilisation and MTBF are calculated from this meter.
  • Date range: the period to report on

Click Apply to run the report.

Reading the report

Once applied, the report shows a summary card for the KPI, followed by a chart or table.

  • Time Series view charts the KPI over the selected period
    • Plot by: show the KPI by Day or by Month. Some KPIs are only available monthly.
    • Analyse metric by: appears for KPIs such as MTBF, MTTR and Availability Index, to change how the KPI is broken down
  • Table view lists the KPI by row
    • Group by: show results as a single total (All Assets), or by Department, Area, Asset Type, Asset Class, Asset Group or Asset
    • Top N: use the slider with Highest or Lowest to focus on the best or worst performers
    • Export CSV / Export Excel: download the table

Click a point on the chart to drill down into the figures behind it.

The Utilisation & Availability and Work Orders categories also show Calculated Metrics below the report, for example total Calendar Hours, Downtime Hours (Planned and Breakdown) and Availability.

To see how each KPI is calculated within the app, open Metric Formulas.

KPI reference

The terms used below:

  • Usage: the meter usage recorded for the asset during the period (for example engine hours)
  • Calendar Hours: the total hours in the period
  • Downtime Hours: hours the asset was down, from downtime Events
  • Stoppage: a downtime Event. Stoppages are either Planned or Breakdown.
Utilisation & Availability
  • Utilisation: total usage. Sum of Usage
  • Calendar Utilisation: how much of the period the asset was used. Usage ÷ Calendar Hours
  • Mechanical Availability: how much of its working time the asset was available. Usage ÷ (Usage + Downtime)
  • Calendar Availability: how much of the period the asset was not down. (Calendar Hours − Downtime Hours) ÷ Calendar Hours
  • Utilisation of Availability: how much of its available time the asset was used. Usage ÷ (Calendar Hours − Downtime Hours)
  • Effective Utilisation: Calendar Utilisation × Calendar Availability
  • Availability Index: MTBS ÷ (MTBS + MTTR)
Work Orders
  • Work Orders: count of all Work Orders
  • Task Work Orders: count of Work Orders linked to a Task
  • Work Order Duration (Hours): sum of the duration of all Work Orders
  • Task Work Order Duration (Hours): sum of the duration of Work Orders linked to a Task
  • Task Work Order Percentage: the share of work that is planned, task-based maintenance. Task Work Orders ÷ all Work Orders
  • Defects Created: count of defect Work Orders created
  • Defects Completed: count of defect Work Orders completed
Reliability
  • Stoppage Count (Total / Planned / Breakdown): count of downtime Events, in total or by type
  • Stoppage Hours (Total / Planned / Breakdown): sum of downtime hours, in total or by type
  • % Breakdown Events: Breakdown Events ÷ all Events
  • % Planned Events: Planned Events ÷ all Events
  • % Planned Downtime: the share of downtime hours that was planned
  • Stoppages per 1000 Hours: count of Stoppages per 1,000 meter units
  • Mean Time Between Stoppages (MTBS): Utilisation ÷ count of Stoppages
  • Mean Time Between Failures (MTBF): Utilisation ÷ count of Breakdown Stoppages
  • Mean Time Between Unplanned Stoppages (MTBUPS): Utilisation ÷ count of Unplanned Stoppages
  • Mean Time to First Stoppage After PM: how long an asset runs after preventive maintenance before its next stoppage. Sum of usage between PMs and the next Stoppage ÷ count of Stoppages
Maintenance Efficiency
  • Maintenance Ratio: maintenance labour per unit of usage. Labour Hours ÷ Utilisation
  • Maintenance Ratio (Task Work Orders): as above, for Task Work Orders only
  • Maintenance Ratio (Defects): as above, for defect Work Orders only
  • Downtime per Stoppage: sum of stoppage hours ÷ count of Stoppages
  • Mean Time to Repair (MTTR): sum of breakdown downtime hours ÷ number of Breakdown Events
Costs

Costs come from the parts, labour and services recorded on Work Orders. See Costs.

  • Total Cost: Parts Cost + Labour Cost + Services Cost
  • Parts Cost, Labour Cost, Services Cost: sum of each cost type across Work Orders
  • Total Cost per Unit: Total Cost ÷ Utilisation, for example cost per engine hour
  • Parts / Labour / Services Cost per Unit: each cost type ÷ Utilisation

Tips

  • If a report shows no results, check that a Meter is selected and that the assets have meter readings for the period. See Add Meter Reading.
  • Reliability and availability KPIs depend on downtime being recorded accurately as Events, with the correct planned or breakdown type. See Events.
